Arogya Pharma — the chemist counter, computerised properly

For retail chemists and medical stores: three-keystroke billing with substitute suggestions by salt for the pharmacist to consider, batch and expiry control that ends silent losses, a Schedule H1 register that drafts itself from bills, mixed-rate GST handled per item, khata for regulars and WhatsApp home delivery — with the licensed pharmacist always in charge of what crosses the counter.

The Ground Reality

Where a medical store actually loses money

Not at the counter price — in the quiet places: the top shelf, the ruled registers, the distributor ledger and the khata drawer.

Expiry found too late

Strips discovered after the date passes, distributor return windows missed by weeks — the write-off shelf grows quietly and eats the month’s margin.

Substitute hunting by memory

Brand out of stock, same salt on the third rack — but only the owner remembers that. The newest hire guesses, the pharmacist is busy, the customer walks.

The 11 pm H1 register

Copying drug, patient and prescriber details from the day of bills into a ruled register, every night, in handwriting an inspection must decode.

GST, three ways at once

Five, twelve and eighteen percent on one invoice — rates picked from memory, errors surfacing at filing time as the CA’s least favourite phone call.

Distributor fog

Margins per item unknown, schemes forgotten, credit notes untracked, expiry and breakage returns argued from memory across a counter.

The khata drawer

Regulars buy monthly on credit; the khata lives in a drawer; reminders feel awkward, so dues age — and the most loyal customers become the biggest float.

The Feature Set

Built for the rush hour and the inspection, both

Lightning billing

Barcode or three keystrokes of the name; batch auto-picked first-expiry-first-out; substitute suggestions by salt and composition shown for the pharmacist to consider — the decision stays human, the lookup stops being one.

Batch & expiry control

Batch-wise stock with 90/60/30-day expiry alerts, a near-expiry rack list for the Sunday round, and a return-to-distributor workflow that files the claim before the window closes.

Purchase & distributors

Purchase entry from bills with scheme and discount capture, margin visibility per item and per distributor, pending-order tracking and credit notes reconciled against purchases.

Schedule H / H1 register

Drafted automatically from bills — drug, quantity, patient and prescriber — printable in the prescribed format for the pharmacist to review and sign. The 11 pm copying session retires.

Narcotics & Schedule X support

Separate register support with stricter prompts, quantity reconciliation and audit trails for the categories your licence permits you to stock.

Licence-clean invoices

Drug-licence numbers, pharmacist name and registration printed on every invoice; return and refund memos numbered and tidy — the paperwork an inspector expects, by default.

GST, mixed and correct

5, 12 and 18 percent items priced per HSN on one bill, GSTR-ready summaries and clean exports — your CA gets data, and the filing-time phone call gets boring.

Doctor-wise Rx tracking

The prescriber field on bills builds doctor-wise dispensing analytics — know which OPDs your counter really serves. The data stays yours, on your server space, full stop.

Khata for regulars

Family-wise credit ledgers, ageing views, gentle WhatsApp reminders with UPI links, and festival settlement lists — dues shrink without a single awkward conversation.

  • Reorder points — computed from sales velocity and season, not gut feel
  • Stock audit by scanner — rack-by-rack counts with a phone camera
  • Loyalty points — the family that buys monthly gets remembered monthly
  • Counter-wise summaries — cash, UPI and card totals per counter, per shift
  • Multi-counter ready — several billing counters on one stock pool
  • Dead-stock reports — slow movers surfaced before they become write-offs
  • Hindi + English screens — every role picks its language
  • Offline-tolerant billing — the counter works through net drops and syncs back
Home Delivery, Your Way

WhatsApp orders — for the store, by the store

Regulars send their monthly list or a photo of the prescription to your WhatsApp number. The pharmacist checks it, the counter bills it, and your own delivery person — or a store pickup — completes it. No marketplace, no percentage commission, no stranger inserted between you and a family that has bought from you for thirty years.

Drugs & Cosmetics Act records Schedule H / H1 Schedule X support GST-ready

The flat ₹3 per-order fee, explained: delivery and pickup orders taken through the WhatsApp flow carry our standard flat service fee of ₹3 per order — a fixed rupee amount covering order confirmations and status messages, never a percentage of your sale. The first 33% of each month’s orders are free of the fee; the rest deduct from a prepaid wallet that never lapses while your subscription is active, with a full usage statement on every GST invoice. GST applies extra on fees. Counter billing carries no per-bill fee at all.
The pharmacist stays in charge: sales run strictly per the Drugs & Cosmetics Act — prescription-drug rules are enforced by the registered pharmacist at the counter; Arogya Pharma provides registers, prompts and records, never permissions. E-pharmacy regulation is still evolving: the online-ordering features here are store-pickup and home-delivery tooling for licensed retail chemists serving their own customers — not a marketplace, not an e-pharmacy platform.

FAQ

Arogya Pharma — asked across the counter

How exactly does it cut expiry losses?
Four ways: billing picks the earliest-expiry batch by default, the 90/60/30-day alert ladder flags risk while it is still returnable, the near-expiry rack list turns the Sunday round into a ten-minute job, and the return-to-distributor workflow files claims before windows close. Stores typically discover their real expiry exposure in the first stock import — and stop repeating it.
Is the Schedule H1 register really automatic? Is that allowed?
The register drafts itself from your bills — drug, quantity, patient and prescriber — in the prescribed format, ready to print, review and sign. The legal duty stays exactly where the Drugs & Cosmetics Act puts it: with the registered pharmacist. Arogya removes the copying, not the responsibility — records and prompts, never permissions.
Our items mix 5%, 12% and 18% GST. Does billing handle that?
Yes — every item carries its HSN and rate, one invoice mixes rates correctly with rate-wise totals, and GSTR-ready summaries export cleanly for your CA. Composition-scheme stores are supported too; tell us your registration type during setup and the invoices format accordingly.
Power cuts and patchy internet — can we still bill?
Yes. Billing runs offline on the counter machine or an Android phone and syncs when the connection returns; khata entries and stock movements queue the same way. The store never stops selling because the network stopped cooperating — that is a design rule, tested against Indian afternoons.
Distributor returns and credit notes are a permanent argument. What changes?
Every return — expiry, breakage or excess — becomes a numbered challan against a distributor, with the expected credit tracked until the credit note actually arrives and reconciles against purchases. The argument changes from memory-versus-memory to a printed statement — and margins per distributor finally become visible enough to negotiate with.
We run two counters at rush hour, one stock. Multi-counter? Second store?
Multiple counters bill against one stock pool with counter-wise and shift-wise cash summaries, and role logins keep accountability clean. A second store runs as its own stock with an owner dashboard across both — indicative multi-store pricing is quoted by store count. Ask for both in a scoping call at +91 63909 99366.
