Zaika POS — family dining without the Sunday chaos

Built for family and casual dining rooms across India: tables that turn on time, orders that reach the right kitchen station the first time, recipe-level costing that shows where food quietly disappears, aggregator orders reconciled to the rupee — and one phone screen where the owner sees it all.

The Sunday Evening Reality

Six things that go wrong in every busy dining room

We wrote the feature list by sitting through dinner rushes in Lucknow restaurants. Each problem below maps to a module in the next section.

1 · Orders travel by shouting

The captain scribbles, the runner relays, the kitchen mishears — table 7 gets paneer instead of chicken, the remake is free, and the guest posts the wait time online.

2 · The food-cost mystery

You know what you bought and what you billed — but not what the menu should have consumed. Without that third number, wastage and pilferage hide inside "market rates went up".

3 · Aggregator tablets & blind payouts

Zomato and Swiggy orders beep on separate tablets, get re-typed into billing, and month-end payouts arrive minus commissions nobody has ever line-checked against the contract.

4 · Discounts without a trail

A 10% regular-customer discount here, a complimentary dessert there, a manager void at closing — each defensible, none recorded, together a percentage point of revenue every month.

5 · Dine-in versus parcel GST

Restaurant service, takeaway parcels, delivery through aggregators, packaging charges — each behaves differently on the bill, and hand-written invoices get all of them wrong somewhere.

6 · Regulars the register forgets

The family that dines every Friday, the office that runs a monthly khata, the uncle who always wants less oil — their history lives in one waiter’s head, and he has offers from three other restaurants.

Where It All Meets

The kitchen is where money is made — and lost

A dining room can look full every night and still lose money at the burners: over-portioned gravies, unlogged wastage, KOTs that never became bills. Zaika POS treats the kitchen as the profit centre it is — every KOT accounted for, every recipe costed, every deviation visible the same day, not at the year-end stock take.

The Answer, Module By Module

Nine modules, each born from a problem above

Table & floor management

A live floor map with table states — vacant, seated, ordered, billed — plus merge, transfer and split. Waiting guests get a token; the host sees exactly which table clears next.

QR-at-table & captain app (fixes #1)

Guests scan and order from the table, or the captain takes it on a ₹6k Android — either way the order is typed once, priced from the live menu and fired straight to the kitchen.

KOT routing & KDS (fixes #1)

Tandoor items to the tandoor printer, Chinese to the wok station, desserts to the pantry — automatically. A kitchen display shows pending, preparing and ready, with item-wise timers.

Menu with variants & portions

Half and full portions, add-ons, combos, time-based menus (lunch thali till 4 pm), out-of-stock toggles that update QR menus and aggregators together — one menu, everywhere.

Recipe & food costing (fixes #2)

Every dish carries a recipe with yields. Zaika computes theoretical consumption from sales and compares it with actual stock issue — the gap is your wastage-plus-pilferage number, dish by dish.

Inventory, indent & wastage log

Daily indents from par levels, purchase entries against suppliers, store-to-kitchen issues, and a two-tap wastage log with reason and photo — so shrinkage is written down, not shrugged off.

Aggregator inflow & reconciliation (fixes #3)

Zomato and Swiggy orders flow into the same billing and KOT stream — no re-typing. At month end, commission, ads and adjustments are reconciled line by line against actual payouts.

GST-correct billing & khata (fixes #4, #5, #6)

Dine-in service, parcels and packaging charges each billed correctly; discounts and complimentaries need a manager PIN and leave an approval trail; trusted regulars get a proper customer khata with statements.

Feedback QR & owner dashboard

A feedback QR on the bill catches complaints before review sites do. The owner’s phone shows sales, table turns, food-cost trend, voids and top dishes — live, from anywhere.

The Pilferage Math

Three food-cost numbers — you currently see only one

Indicative example for a mid-sized family restaurant. Your menu, your numbers — the point is the gap, because the gap is the leak.

Theoretical food cost (from recipes)
32%
Actual consumption (from stock)
38%
Actual, 90 days after visibility
33–34%

The six-point gap between recipe and reality is wastage, over-portioning and pilferage. No software recovers all of it — but once the gap is printed every morning with dish-wise detail, kitchens tighten on their own. On ₹10 lakh of monthly sales, every recovered point is ₹10,000 back, month after month.

Built For

The family restaurant, in all its Indian variety

  • Family & casual dining — 12 to 120 covers, single or double floor
  • Multi-cuisine kitchens — thali counter at lunch, a-la-carte and Chinese at dinner
  • Veg institutions & pure-veg chains — high turns, tight portions, loyal regulars
  • Restaurants with a party hall upstairs — separate menus, merged accounts
  • Two-to-five outlet mini-chains — central menu and recipes, outlet-wise reports
Indicative pricing: from ₹1,999/month per outlet (billing, tables, KOT/KDS, inventory, recipes, aggregator reconciliation, owner dashboard) plus a flat ₹3 per order on own-app orders — first 33% of monthly orders free, the rest deducted from prepaid wallet, never a percentage. Setup with menu and recipe import from ₹4,999. GST 18% extra; business customers may deduct TDS where applicable against a valid certificate. Final quotes in writing.

FAQ

Zaika POS — asked by restaurant owners

Will it work with the thermal printers and Android tablets I already own?
Almost certainly. Zaika POS drives standard ESC/POS thermal printers (network, USB and Bluetooth) and runs on ordinary Android phones and tablets — we test on ₹6,000 devices, not flagships. Bring your existing hardware to the demo; if something genuinely cannot be reused, we say so before you sign, and quote replacements at market rates.
My waiters have never used an app. Honestly, will this survive them?
Yes — the captain app is deliberately simpler than WhatsApp: big buttons, pictures, Hindi or English, three taps from table to KOT. Training happens on your floor during off-hours, and the first week runs with our support on call. Most teams are faster than their old notepads within days, because the app never forgets an add-on or a half-portion price.
Will older guests actually use QR ordering?
Some will, some will wave for the captain — and both work, because the QR menu and the captain app write to the same order. QR ordering is per-table and optional: switch it on for the young crowd on weekends, keep captain service for family sections. Either way the kitchen sees one clean KOT stream.
What does aggregator reconciliation actually do?
Every Zomato and Swiggy order is captured with its gross value, commission, packaging and delivery adjustments. At month end, Zaika lays your order-level records against the payout statement and highlights mismatches — orders paid short, commission above the contracted slab, refunds you never approved. Owners routinely find discrepancies worth more than the software costs; disputes go to the aggregator with line-level proof attached.
Recipe costing sounds like homework. Who enters all those recipes?
We do the first load with your chef — one sitting for the top 40 dishes that drive most of your sales, using approximate yields to start. The reports are useful from day one and sharpen as quantities are refined. You do not need laboratory precision; you need a consistent baseline so the variance trend is honest.
What happens when the internet drops mid-service?
Service continues. Billing, table management and KOT printing keep running on your local network and sync to the cloud when the connection returns; own-app and aggregator orders queue at their end meanwhile. Power-cut resilience is the same — the system runs on a phone and a thermal printer that a small UPS or inverter carries easily.
